Swift Force Solutions
Privacy Policy
Effective October 8, 2026
Swift Force Solutions is a staffing company in Baltimore, Maryland. This policy explains what information we collect through swiftforcesolution.com, accounts.swiftforcesolution.com and our worker, employer and staff portals, how we use it, who we share it with, and the choices you have.
1. Information we collect
- From job applicants: your name, phone number, email, address, the work you are looking for, your work history, skills and résumé, and the answers you give on our application.
- From people we hire: the information employment law and payroll require - your date of birth, Social Security number, Form I-9 information and identity documents (such as a photo ID and a Social Security card), tax forms (Form W-4 and Maryland Form MW507), direct deposit details, an emergency contact, and your signatures on these forms.
- While you work: the assignments and shifts you are given and the hours you work. When you clock in with your phone, we record your phone's location at that moment to confirm you are at the work site. We do not follow your location at any other time.
- From employers: company and contact details, job orders, work sites and billing information.
- When you use the website: if you use the chat, what you write and any contact details you give us (the conversation is kept and sent to our office so we can follow up). When you sign in, we record the date and time, the pages used, your IP address and your browser type, to keep accounts secure.
- Cookies: one cookie keeps you signed in and one remembers your language. We do not use advertising cookies or outside analytics tools.
2. How we use it
- To review applications, match people with jobs and schedule work.
- To complete hiring paperwork and confirm identity and eligibility to work in the United States, including E-Verify, and - only with your written permission - to run background checks.
- To pay you: payroll, tax withholding and filing, direct deposit and pay records.
- To bill the employers you work for, for the hours worked.
- To answer your messages and to keep our systems and accounts secure.
- To meet legal duties, such as keeping I-9 and payroll records and checking names against government sanctions lists.
3. Who we share it with
We do not sell your personal information. We share it only when needed:
- With the employer you are placed with: your name, your assignment, your hours, and what the assignment requires (for example a safety certification).
- With companies that provide services to us: our payroll and accounting provider (QuickBooks by Intuit, including QuickBooks Payroll and QuickBooks Time), background check providers (only with your written permission), and the companies that host our website and deliver our email. They may use it only to provide their service to us.
- With government agencies when the law requires it, such as tax agencies and E-Verify.
- When the law requires it in a legal proceeding, or to protect someone's safety.
- If our business is sold or merged, with the new owner, who must follow this policy.
4. Our connection to QuickBooks
We run payroll and keep time and billing records in our own QuickBooks company. Our system connects to it to keep employee records, hours and payroll information the same in both places. We use this connection only to run our own business. We do not use QuickBooks data for advertising, and we do not sell it or share it except as this policy describes.
5. How we protect it
- Social Security numbers are stored encrypted.
- Only Swift Force staff who need sensitive information can see it. Our screens show only the last four digits of a Social Security number, and every time a full number is shown it is recorded.
- Our websites use encrypted connections (HTTPS).
No system is perfectly secure. If a security breach affects your information, we will tell you as the law requires.
6. How long we keep it
We keep information as long as we need it for the purposes above and as long as the law requires - for example, Form I-9 for three years after hire or one year after employment ends, whichever is later, and payroll and tax records for as long as federal and Maryland law require.
7. Your choices
- You can see and update much of your information in the worker portal.
- You can ask us for a copy of your information, ask us to correct it, or ask us to delete information we are not required to keep.
- You can withdraw your permission for a background check before it is run.
8. Children
Our services are for adults looking for work. We do not knowingly collect information from children under 16.
9. Changes to this policy
We may update this policy. The date at the top shows when it last changed.
